Main Purpose of the Job

To provide the best level of service to all customers/Leasing Companies while maintaining a satisfactory profit contribution to the Dealership. Contribute to the development of all operating and administrative policies and procedures to ensure the achievement of all tasks accurately and in a timely manner

Detailed Responsibilities

Assist in daily running of Corporate Department to include but not limited to:

  • Respond to all email alerts in the agreed time stipulation
  • Create SA3 quote to match the required specification and update the Ebbon system
  • Provide accurate lead times to customers/clients
  • Day to Day maintenance of Ebbon-Daccs and any other lease company vehicle ordering system, providing accurate and timely information
  • Ordering of BMW/Mini products on the manufacturers system, checking against client orders in all cases. Where required, call and check the specification with the driver
  • Pass all new orders to the Corporate Manager to enable the DOC to be updated. Keep all vehicles updated with the correct status on Ebbon. This will ensure all customer orders and communications are totally up to date.
  • Prepare the internal file, ensuring the specification has been checked and agreed with the customer
  • Full Ebbon status updates at least once a week
  • Check the consignment note on day of download. Update Ebbon and offer for delivery after checking the release date from Southampton/Thorne or Oxford
  • Confirm onward delivery to the customer and arrange the necessary transport keeping to the agreed mile restrictions
  • Load/email delivery paperwork the day after delivery to ensure prompt payment, update CDK Sales Ledger with full details
  • Assist with Department Managers to resolve any queries including debtors
  • Answer the corporate phone to ensure a prompt response to all corporate customers
  • Monitor and continuously achieve the highest levels of customer satisfaction. Identify problems, suggest corrective action where required, including new operating procedures
  • If applicable ensure all OLEV paperwork is obtain from the leasing company and passed for entry onto the Government Portal with original order – signed sales invoice must be obtained upon delivery
  • Ad hoc as required
  • Month End - Ensure all vehicles are registered and invoiced by the last day of the month

Direct relationships: Corporate Sales Manager, Corporate Admin Manager, LBDM’s, Account Handlers, On Site Driver, Leasing companies, end Users/Drivers and Fleet Managers
